Decision guide for SAP RE-FX vs. SAP CLM/Planon

The market for SAP-based real estate management is currently undergoing a strategic transformation. While SAP historically offered a fully integrated real estate solution with SAP RE-FX, SAP is now increasingly pursuing a shared architecture with Planon.

  • SAP - Finance, Contract Management, Lease Accounting
  • Planon - Operational Real Estate & Facility Management

This realignment is based on a strategic partnership between SAP and Planon, in which Planon now acts as SAP Solution Extension is positioned. Future innovations will primarily focus on SAP Contract and Lease Management (CLM) plus Planon, while RE-FX continues to be supported, but its development is limited.

This article briefly and concisely describes the key decision factors, target architectures and typical application scenarios for both approaches.

1. Market and SAP strategy development

Strategic realignment of SAP in the real estate sector

Real estate management outside the core SAP environment is strategically complemented by Planon partner solutions. This division allows for a clear separation between financial processes and operational real estate management. Both areas leverage their strengths and are professionally integrated.

Planon's role in the SAP portfolio

Planon delivers an integrated platform for:

  • Real Estate Management
  • Space & Workplace Management
  • Asset & Maintenance Management
  • Energy and sustainability management

At the same time, real estate financial data is automatically integrated into SAP.

2. Solution Overview

SAP RE-FX

SAP RE-FX is a classic SAP real estate solution with:

  • Contract and rental management
  • IFRS 16 Lease Accounting
  • Real estate property structure (buildings, areas, use)
  • FI/CO integration
  • Integration with PM, PS, MM, etc.

SAP RE-FX is a mature solution and part of the S/4 suite, but is largely in maintenance or stability mode without a strong innovation roadmap.

SAP Contract and Lease Management (CLM)

SAP CLM is a modern contract and lease management solution with a focus on:

  • End-to-end contract lifecycle
  • Cloud availability (e.g., public cloud)
  • IFRS 16 compliance
  • Financial integration

In contrast to SAP RE-FX, SAP CLM focuses more on commercial processes and typically outsources, for example, the actual real estate management to Planon.

Planon

Planon functions as an operational IWMS/CAFM and offers:

  • Real estate portfolio management
  • Space management, CAD, BIM and workplace management
  • Facility services and maintenance
  • ESG and energy data management
  • Real-time transparency across real estate processes

3. Target architectures in the market

Classic SAP architecture

  • SAP RE-FX
  • SAP FI / CO
  • SAP PM, MM etc.

→ Suitable for stable and existing on-premise installations, e.g., with a focus on the housing industry.

Strategic target architecture (SAP + Planon)

  • SAP S/4HANA is based
  • SAP CLM with FI/CO, possibly with PS, MM
  • Planon IWMS/ CAFM

SAP and Planon jointly deliver an end-to-end system across finance and operations, demonstrating their strengths as a cloud solution.

5. When is SAP RE-FX a sensible choice?

Existing systems with stable processes

If SAP RE-FX is already established and a migration offers no added business value.

SAP Core-Only Strategy

For example, if companies want to operate their SAP system independently.

Specific industry cases

For example, in cases of predominantly residential property management.

6. When does SAP CLM + Planon make sense?

Cloud transformation

SAP CLM + Planon is available for S/4 Public Cloud and is therefore maintenance-free and future-proof.

Complex real estate and facility use cases

These areas are clearly within Planon's scope:

  • Workplace Management
  • IoT integration
  • Sustainability reporting
  • Smart building concepts
  • Strategic SAP Roadmap Alignment

SAP is investing in SAP CLM + Planon as a future platform.

7. Transformation Strategy - Example

Phase 1 – Stabilization

  • Continued operation of SAP RE-FX, possibly until all SAP RE-FX functions are fully available in SAP CLM/Planon.
  • Perform data and process harmonization

Phase 2 – Defining the target image

  • Evaluation of the required functionalities from SAP CLM + Planon
  • Define the architecture, integration, and transformation strategy.

Phase 3 – Transformation

  • Perform selective migration
  • Development and training

8. Recommendations for decision-makers

  • Clean up/stabilize the SAP RE-FX landscape
  • Check transition scenarios
  • Define cloud strategy
  • Evaluate target architecture
  • Separate Finance and Operations

9. Fazit

SAP RE-FX remains a stable solution for existing landscapes for the time being and still has its place. However, a medium-term migration to the SAP cloud solution should be planned well in advance.
The strategic future (Public Cloud) in SAP real estate management clearly lies in the combination of:

SAP CLM + Planon

The advantages are obvious:

  • No hosting or maintenance costs
  • End-to-End Real Estate + Finance Integration
  • Future-proof innovative capability
  • Manageable cost structure
